Most of the referrals we receive, have one thing in common, they are not happy with their current IT company. The reason could vary, such as the client has outgrown the one man band IT guy/IT company, the IT company made a major faux pas, the solutions they received did not perform as promised, IT costs are too prohibitive, the help is not local and so and so on.
We are hoping that you are happy with your current vendor and support. If you are not, consider these important steps:
- Establishing what is important to you with the new IT Company – Communication and transparency are the two important keys. Tell them in advance what are your concerns are and what are you looking for; Is it Helpdesk, quick response time, Cloud migration, application support, security, compliance or remote access? What is maximum tolerable Downtime for your business? Make sure these are stated in your contract also known as Service Level Agreement (SLA). Additionally, what type of NDA (Non-Disclosure Agreement) agreement relevant to your industry and business need to be signed?
- Be organized and proactive about your network documentation – Make sure you know the admin and all the important passwords, who has rights and access to your intellectual property/data?, what applications are running on your server, your licenses and support contracts and their expiration dates, your network diagram, your vendors and any other relevant information.
- Backup your data – It is important to know you have a good backup and to know where it is kept, online, on local drives, in the hybrid cloud? Who has access to it? What happens after the contract is over? How can you be sure that the backup is destroyed?
- Before and after the switch also known as the transition time – If you are dealing with a professional organization they are concerned about their reputation and they make sure the transition will go smoothly. Sometimes there are cases that the breakup is not amicable. So you have to figure out with the help of the new IT Company how to get the information that is rightfully yours such as password, licenses, propriety information, schematics, Intellectual properties etc.
- On-boarding – Once the new company is hired they need time to become familiar with your operation and staff. To implement their maintenance software for monitoring, remote access, antivirus and anti-malware and any other tools to make sure that the can provide an excellent service. It is important to know these processes and to know the length of the transition period so you are not caught by surprise.
